How to Use Buzztrip
New to the Hive? 🐝 Follow these simple steps and you'll be planning your first event in no time.
1. Start a Hive (your event)
- Sign up with your name, email, and a password.
- From your dashboard, tap “New Hive” / “Start a Hive.”
- Add your name, dates, and a few details. That’s it — your Hive is created!
- Pick your Event Type when you create or edit a Hive — Buzztrip works for a cruise, a trip or vacation, a flight/getaway, a resort stay, a wedding, a birthday, a party, a family reunion, a girls’ trip, a retreat, camping, gaming, boating, a day trip, and more. The “at a Glance” card on the Overview page automatically switches its icon and labels to match (a ship for a cruise, a heart for a wedding, a tent for camping, a car for a day trip, and so on).
- Next to each date you can add an optional time (like 8:00 AM). The time shows on the “at a Glance” card, and the countdown ticks down to that exact time.
- Made a mistake? Hive leaders see Edit and Delete buttons right on the “at a Glance” card. Edit fixes any detail; Delete removes the whole Hive (you’ll be asked to confirm first).
- Look for the gold pencil (Edit) and red trash can (Delete) all around your Hive — on itinerary stops, packing items, grocery items, stays, polls, chat and Bee-to-Bee messages, the total event cost, and photos in Share Memories (open a photo to edit its caption or delete it). You can change what you added; the leader can also tidy up shared items. You’ll always be asked before anything is deleted.
- As the leader, tap Edit to add the details that fit your event — the cruise line, airline, resort or venue name, and the city you’re leaving from. The Overview page then shows an “at a Glance” card with those details, how many days and nights, and your dates — the first thing everyone sees.
2. Invite your crew
- Open your Hive and find the invite link.
- Share it by text, email, or however you like.
- Friends tap the link, sign in and tap Join This Hive — they’ll see “Request sent!”
- You’ll see them in a “Waiting to Join” card on the Overview tab. Tap Approve (or Decline). Only approved Bees see the chat, photos and documents — so a forwarded link can’t bring in strangers.
- Need to take someone out? Tap the red trash can next to their name in Hive Members. They lose access right away.
3. Vote on where & when to go
- The leader adds 2–5 destination options. For each one, you can upload a photo straight from your phone so everyone can see the place.
- If no photo is added, the card shows a polished branded placeholder with the place name — never an empty box.
- Everyone in the Hive votes for their favorite.
- Watch the live tally — when the leader closes voting, the winner is locked in.
- Leaders: each voting card has a gold Edit button (fix a name, photo, or price) and a red Delete button. Spotted a typo after voting closed? On the Overview tab, "The Hive Has Spoken" banner has Edit Name to fix the spelling, and Reopen Voting to redo the vote — everyone's votes are kept, and you can close voting again when ready.
- Pick the Dates 📅: on the Overview tab (while you’re still planning), the leader taps Add dates and adds 2–3 date choices. Every Bee taps Works, Maybe or Can’t on each one. The dates that suit the most Bees float to the top with a “⭐ Most Bees” tag, and you can see who said what. When you’re ready, the leader taps Use and those become the Hive’s trip dates (the countdown updates too).
4. Split the cost fairly
- The leader sets the total event cost.
- The app splits it evenly, or you can set custom amounts.
- Everyone settles up (Zelle, cash, etc.) and marks their share paid so the whole crew can see who’s squared away.
- Split the Honey 🍯: for the costs that pop up along the way (dinner, gas, groceries, tickets), open the Payments tab and tap Add a cost. Type what it was for and the amount, pick who paid, and check the Bees who are sharing it.
- Buzztrip does the math and shows “Who owes who” using the fewest payments possible. Pay each other your way (Zelle, Cash App, cash), then tap I paid this — or the Bee who got the money can tap Got it. Everyone’s balance updates right away.
- Typo? The gold pencil edits a cost and the red trash can deletes it (you’ll be asked first). The person who added it, the Bee who paid, and the leader can change it. No money moves through Buzztrip.
5. Plan together
- Watch the countdown to the big day — it bursts into a fun celebration when your event day arrives, and it even adapts to your event (“Anchors Aweigh” for a cruise, “Wheels Up” for a flight, “Game On” for gaming, and so on).
- Build a shared packing list — items are auto-sorted into collapsible categories (Clothes, Toiletries, Documents, Electronics, Health & Meds, Essentials). Tap a category header to collapse or expand it.
- Add a day-by-day itinerary, peek at the weather, and upload documents like boarding passes.
- Your “At a Glance” card on the Overview tab shows a soft photo of your destination in the background once it’s a real place (like Tampa or Nassau). Cruises get a calm ocean background. If the leader uploaded a photo on the winning voting card, that photo is used instead. Fun names like “Birthday Shenanigans” keep the plain card.
- Destination Spotlight 🌴: right under “At a Glance”, real places get a big swipeable photo gallery, an “About this place” write-up, this week’s weather, the top 5 things to do, and local tips (money, language, what to wear for your travel month, and a good-to-know tip). Tap the arrows or dots to flip photos. The leader’s winning-vote photo shows first, and “Read more” opens the full page with photo credits.
- Hive Ideas Board 💡: saw a great spot on TikTok, Instagram Reels, YouTube or Facebook? On the Planning tab, paste the link (optional) and tap Add an idea, type the place name (add the address so it pins on the Hive Map), then tap Save to Ideas. Everyone can vote with the heart.
- Every Bee can tap the heart to vote for an idea, and the most-loved ideas rise to the top. Ideas with an address show as 💡 pins on the Hive Map. Leaders can tap the calendar button to add an idea straight to the itinerary. The gold pencil edits an idea and the red trash can removes it.
- Excursions & Tours 🧭: once the Hive picks a destination, the Overview tab shows tour ideas with real photos of the place and a "Powered by Viator" tag in the corner. Tap any card or “View All on Viator” to browse and book real tours.
- Leaders: already have your itinerary on paper or as a PDF? Tap Scan on the Itinerary card, then Take a Photo or Upload PDF or Image. Helper Bee reads it and lists every stop — fix anything, uncheck what you don’t want, and tap Add to Itinerary. Anything not on the page is left blank (never guessed).
- Automatic activity reminders ⏰: give an itinerary stop a date (and a time if it has one) and every Bee in the Hive gets a friendly email about 2 hours before it starts — or on the morning of for all-day plans. An "Up Next for the Hive" card on the Overview tab also counts down the next stops. Times are Eastern. Change a stop and its reminder resets automatically.
- Keep documents safe: each upload starts Private (only you can see it) — tap the Share button to let the whole Hive see it, or switch it back any time. So your passport stays yours. 🐝
- On photo documents you can Edit/crop, double-tap to maximize, or Delete — right from the Event Documents card.
- Hive leaders can add a passcode lock to the whole Event Documents area, so a code is needed to open it.
6. Crew Logistics — cabins & rides
- On the Overview tab, open the Crew Logistics card to see where everyone is staying and how they’re getting there.
- Under Staterooms & Cabins (or Rooms for non-cruise events), everyone can see each other’s cabin or room number — so you can find your crew once you’re aboard or checked in.
- The Arrivals & Rides board shows how each Bee is arriving (driving, flying, or other), when they get in, and whether they’re offering a ride, need a ride, or are all set — perfect for coordinating airport pickups to the ship.
- Tap “My Info” to add your own cabin number, arrival time, and ride status. You only ever edit your own details, and everyone in the Hive can see the board.
7. Where we’re staying & Uber rides
- On the Overview tab, the Where We’re Staying card shows your hotel, Airbnb, Vrbo or cruise — with the address, check-in and check-out times, and a link to the booking.
- Tap "View booking" to open the reservation in a new tab, or "Copy address" to paste it into your maps app.
- Each stay shows a photo 📸 — your leader can add a picture of the hotel or rental when adding or editing a stay. If there isn’t one, a photo of the area shows automatically.
- Your leader can add more than one stay (like a hotel the night before the cruise). Only the leader can add or edit stays; everyone can see them.
- Tap "Ride with Uber" on a stay, or on any itinerary stop that has an address, to open the Uber app with the destination already filled in. You book and pay in your own Uber app.
- On a cruise’s embarkation day, a "Ride to the port" button pops up so getting to the ship is one tap away.
- Hive Map 🗺️: right under Where We’re Staying, a map shows pins for the destination (📍), the cruise port (🚢), your stays (🏨) and itinerary stops with an address (🗓️). Tap a pin for Directions or Ride with Uber. Pins come from addresses already in your Hive — a full street address works best. Tap "Minimize" to fold the map away (and "Show map" to bring it back) — your phone remembers your choice.
8. Hive Grocery List
- Open the Planning tab to find the shared Hive Grocery List.
- Anyone in the Hive can add items in plain words, like "1 dozen eggs" or "2 lbs ground beef", and check them off once they’re bought.
- Each item not yet checked off has a Walmart and an Uber Eats button. Tap one to search that store for the item, then pick the product, choose pickup or delivery, and pay in your own Walmart or Uber Eats account. Buzztrip never handles the order or payment.
- Items also have an Amazon button, and so does anything not yet packed on your Packing Checklist. Tap it to find that item on Amazon. As an Amazon Associate, Queen Bee earns from qualifying purchases.
- When Instacart is connected, tap "Shop on Instacart" to send everything not yet checked off to Instacart, where you can pick a store and check out.
9. Smart packing & 14-day weather
- Once your destination is locked in, open the Planning tab.
- See a 14-day weather outlook for where you’re headed.
- Buzztrip suggests what to pack based on that weather (rain jacket, sunscreen, warm layers). Tap “Add” to drop any suggestion onto your packing list.
10. Honey points, badges & location pings
- On the Overview tab, earn honey points for pitching in — paying, voting, chatting, packing, and sharing photos.
- Collect fun badges like Queen Bee 👑, Paid Up 💰, and Shutterbug 📸.
- In the Group Chat, tap the map-pin 📍 button to drop an “I’m here!” pin — a card with the name of the place you’re at, plus Open map and Directions buttons so the Hive can find you.
11. Chat & quick polls
- Every Hive has a built-in group chat — send messages and emojis in real time.
- Reply to a specific message by tapping Reply, so everyone knows what you’re answering.
- Send a voice note 🎙️: tap the mic, talk (up to 2 minutes), then tap Send. Changed your mind? Tap the trash can to cancel. Everyone can play it right inside the chat.
- Below the chat, create a quick poll with your own options.
- Everyone votes and sees the live results — perfect for picking a restaurant or activity.
- Made a typo? Tap the pencil to edit a poll’s question or options, or the trash can to delete it. You can manage the polls you created, and Hive leaders can manage any poll. (Changing the number of options resets that poll’s votes so the tally stays fair.)
12. Bee-to-Bee private messages
- Open a Hive and tap the Private tab to message anyone in your group one-on-one.
- Pick a fellow Bee from your Hive list, then chat privately with text and emojis.
- These chats are completely private — only you and the other person can see them. Not the group, not the leader, and not the Queen Bee.
- A red number on the Private tab (and next to a person’s name) tells you when you have new private messages waiting.
13. Never miss a thing — activity alerts
- Inside a Hive, the tabs light up with little alerts so you always know where something new is happening.
- Group Chat and Share Memories show a red number for how many new messages or photos you haven’t seen yet — it clears the moment you open that tab.
- Voting shows a 🗳️ vote sign until you’ve cast your vote, and Payments shows a 💵 money sign until your share is marked paid — these stay put as a friendly reminder until you’ve taken care of them.
- Everyone in the Hive sees these alerts, so leaders and members alike stay in the loop.
14. Help during the event
- The red Hive Emergency button sits right at the top of the Overview tab. Before your event it shows as inactive with a note that it isn’t active until the day of the event.
- On the day of your event it goes live — one tap sends an instant alert to both your group leader and the Queen Bee (Queen Bee Travel Buds).
- Pushed it by accident? Tap “Cancel Alert — False Alarm” and everyone is told it was a false alarm.
- For life-threatening emergencies, always call 911 first.
- Back Safe Check-In ✅: about 2 hours after an itinerary stop with a time starts, a green card appears on Overview. Tap “I’m back safe” so your leader knows you made it back — the leader sees who hasn’t checked in yet.
- Share My Location 📍: on Overview, tap 2, 4 or 8 hours and allow location. Your 🐝 pin shows on the Hive Map with a “last seen” time and updates whenever Buzztrip is open on your phone. It turns off by itself, or tap Stop sharing. For a lost or switched-off phone, use Apple Find My or Google Find My Device.
- Sign-in safety: after 5 wrong password tries, sign-in pauses for 15 minutes to stop password guessing.
15. Relive the memories
- Upload photos and videos to your Hive’s shared gallery.
- Tap “Create a Reel” to stitch your favorite photos and clips into one fun video to share on Instagram, TikTok & Facebook.
- Get a shareable Event Recap card — Bees, days, photos, and your average honey rating — plus rate the event and leave a testimonial.
16. Invite friends, earn perks
- On your dashboard, find the “Invite Friends, Earn Perks” card with your personal invite link.
- Share it with friends who love to travel.
- When they join and plan a trip, they’re first in line for a Queen Bee Travel Buds perk — and you’ll see how many have joined.
